Personal AssistantJob Description Running office and handle all kind of Office Management tasks as well as General Administration Provide a full office management service to employees and visitors, using external suppliers where cost effective/appropriate. Act as point person for Office services, ensuring consistency and responsiveness. Organise maintenance of the office (cleaning, kitchen supplies, planters, etc.) Contract negotiation with office suppliers and third parties Travel organisation - preparation and communication of itineraries (book flights, hotels, taxis, arrange visas) Booking and restaurants/ meeting/ lunches Manage bookings for office drivers Typing of documents in Portuguese, English Translations Portuguese, English Printing, copying and filing of documents Health and Safety - to include training of First Aiders Security - including out of hours access etc Archiving Telecommunications - mobile phones, Video conferencing etc Main contact for Blue Book, Global Holidays, updating of Intranet information (if existing) Moves and changes Organise post and courier service Petty Cash Administration (to be defined with Accounting and finance manager) Link to IT London Link to Office Management London Various administration works Provide smooth transition for employees joining the office, including relocation support as advised. Includes Inductions. Education and Qualifications Several years in similar position, used to work with key executives. Experienced in working with different cultures. Experience in Soft and Hard Facilities services Commercial background, Portuguese, English, French oral and written. MS Office, good organizer, numerate, effective communicator. Flexible, reliable and conscientious person, proactive, able to work under pressure, helpful, service-orientated. Resilient, interpersonally strong, Mature and confident attitude.
